Before I became a Church Administrator, I didn’t always realize just how important the administrative side of ministry was. I used to think if I wasn’t preaching, my role wasn’t as significant. But over time as I leaned into my responsibilities, I learned that everything from the bulletins to the scheduling, the finances to the announcements, the order of service to the prayer lists—it all flows through the admin desk. And that’s not even half of the logistics. When the administrative desk isn’t operating well, everything feels out of sync.

I’ve had weeks where I stayed up late typing bulletins, reminding people of their roles, preparing materials, creating training materials for volunteers, and checking off to-do lists that no one else even knew existed. Even when I was stressed and worn out, I still showed up on Sunday with a smile—because I wanted the service to flow smoothly, not for recognition, but for God’s glory.

Your role is big, but not impossible!

As church administrators, we carry a unique weight. We’re not just answering phones and printing programs—we’re holding together the pieces that allow every other ministry role to function well. When a pastor is able to walk up to the pulpit and focus on preaching, it’s often because someone behind the scenes prepared the logistics. When a visitor receives a warm welcome and a printed flyer, it’s usually because someone in admin thought ahead.

We keep track of finances, service flow, organize events, communicate reminders, and handle more last-minute changes than we care to admit. And yet, we’re often the first to arrive and the last to leave. Not for applause, but because we know the calling runs deeper than titles.

If you’ve ever felt overlooked or unappreciated in your role as a church administrator, I want to remind you: you are the heart of the church’s weekly operation. Your faithfulness keeps the vision organized, the people informed, and the services flowing.

Here’s how you can lean into your role with both purpose and peace:

  • Create a Weekly Admin Flow: Break your tasks into manageable days (e.g., Monday = calendar updates, Wednesday = bulletin prep, Friday = final checks).

  • Communicate in Batches: Instead of chasing people down all week, send out one organized message with everything they need for Sunday.

  • Automate What You Can: Use templates for bulletins, checklists, and service outlines to save time.

  • Take Care of Yourself: You can’t pour from an empty cup. Build in time for prayer, rest, and encouragement—just like you make room for everyone else.

And most of all, remember: you are not “just” the admin. You are a vital part of the ministry. When things run well, no one notices—but that’s often because you’ve made it look seamless.

And that is truly a gift!

Small church doesn’t mean insignificant.
